University Enrollment Portal (“we”, “us”, “our”) is an online platform that helps prospective students discover, check eligibility for, and apply to university programmes. We are committed to protecting your personal data in accordance with the Personal Data Protection Act 2010 (PDPA) of Malaysia and other applicable data protection laws.

We collect the following personal data when you use our Explore Courses (eligibility check) feature:

• Full name
• Email address
• Academic documents (transcripts, certificates, results slips — processed temporarily for AI scanning only; not stored after the scan is complete)
• Extracted academic information (scores, subjects, qualification level — derived from your documents and stored alongside your contact details)
• Marketing consent preference (whether you have opted in to receive promotional communications)

When you register for an account or submit an application, additional information is collected as part of the application process (name, passport details, academic history, etc.). This is covered separately during registration.

We use your personal data for the following purposes:

• Eligibility matching — to match your academic profile against programme entry requirements and display your results.
• Follow-up on eligibility results — our admissions team or authorised collaborators may contact you about programmes you qualify for.
• Marketing communications — only if you have explicitly opted in, we may contact you about courses, upcoming intakes, promotions, and events. You may withdraw this consent at any time by replying to any email or contacting us directly.
• Service improvement — anonymised, aggregated data may be used to improve our platform and matching algorithms.

We process your personal data on the following lawful bases:

• Consent — you provide explicit consent when you submit the eligibility check form.
• Legitimate interests — following up on eligibility results constitutes a legitimate interest in connecting prospective students with relevant programmes.
• Separate opt-in consent — marketing communications are sent only where you have ticked the optional marketing consent checkbox.

Your name, email, extracted academic scores, and consent preferences are stored securely on our servers. Your uploaded documents are processed in memory and are never stored to disk or database.

We retain your lead data for up to 24 months from the date of submission, after which it is deleted unless you have registered an account or submitted an application.

We do not sell your personal data. We may share it with:

• Authorised collaborators — collaborators registered on our platform who are permitted to contact prospective students about programme enquiries.
• AI service providers — your documents are temporarily processed by Anthropic's Claude AI API for optical character recognition. No document data is retained by Anthropic after the API call completes.
• Infrastructure providers — cloud hosting and database providers who process data solely on our behalf under data processing agreements.

Under the PDPA and applicable laws, you have the right to:

• Access the personal data we hold about you
• Correct inaccurate personal data
• Request deletion of your personal data
• Withdraw marketing consent at any time without affecting the lawfulness of prior processing
• Object to processing based on legitimate interests

We use only strictly necessary session cookies required for authentication. We do not use tracking, advertising, or analytics cookies.
